Subscription Manager

  1. Purpose: Primarily responsible for filling all back orders and subscriptions for the Society’s publications. Liaisons with Provenance Editor and SGA Newsletter Editor.
  2. Term of Office: Three years. Appointed by President with Executive Board approval.
  3. Voting Status: Non-voting member
  4. Major Duties/Responsibilities:
    1. Provenance

    2. Maintains Provenance subscription database.
    3. Processes renewals and new subscriptions.
      1. Notes date subscription order and payment were received on order and subscription record.
      2. Process renewals and updates change of address.
    4. Mails issues previously published to libraries that maintain late subscriptions (primarily Ebsco customers).
      1. Prepares labels and takes packets to Post Office.
    5. Sends checks to treasurer.
    6. Prepares invoices and renewal notices for subscription services and independent libraries and mails them by September 30.
    7. Handles claims (received via mail, email, fax, and phone) for Provenance. Involves researching payment history of customer and responding to both customer and subscription service.
    8. Responds to rate surveys and other information requests received from subscription services.
    9. Provides mailing labels to the Provenance editor when a new issue is ready to be mailed.
    10. Responds to requests for back issues of Provenance.
    11. Provides updated information regarding back issues to SGA Webmaster for inclusion on web site.

    12. SGA Newsletter

    13. Email independent libraries and subscription services most recent newsletter.
    14. Supply independent libraries and subscription services with updated password supplied by SGA.

    15. General

    16. Consults with Provenance and SGA Newsletter editors by December 1 to determine the budget for the next fiscal year.
    17. Forwards to the SGA Archivist any non-current files and turns over the current files to the incoming Subscription Manager.
